What You'll Do As Office Coordinator:

  • Keep calendars running smoothly, book travel, register for conferences, order catering, and prioritize the most critical tasks.
  • Manage mail, prep documents, process purchase orders, and be a welcoming point of contact for visitors, vendors, and partner agencies.
  • Track & restock marketing materials, office supplies, and other essentials so the team always has what they need.
  • Partner with the President, Business Operations, and Business Development on daily tasks.
  • Help new team members set up software, hardware, and equipment, and handle updates for current staff.
  • Create & post engaging social media content, respond to comments and messages, and monitor trends and influencers in the special needs community.
  • Collect customer testimonials and bring them to life in marketing pieces.
  • Assist with ordering marketing materials
  • Help create the annual company calendar, from finding great photos to coordinating pricing, shipping, and final details.
  • Work Monday-Friday, 8:00 AM-4:30 PM

Our Ideal Office Coordinator:

  • Experienced: Background in administrative or marketing assistant work, with strong social media skills (Facebook, Instagram, LinkedIn, YouTube). Proficient in Adobe Suite, Canva, or CapCut. Associate or bachelor's degree preferred; social media certification is a plus.
  • Organized & Solutions-oriented: Skilled at managing processes, staying on top of details, and solving problems as they arise.
  • Adaptable: Handles short-term peak workloads and shifting priorities in a fast-paced environment.
  • Collaborative: Works well with a team to carry out strategies set by leadership.
  • Self-motivated: Brings a positive, helpful, and optimistic attitude to daily tasks.
  • Tech-savvy: Proficient in MS Office and Google Suite, with solid general computer skills.
